How we collect, use, and protect your information when you visit our website, contact us, or book a meeting.

About this policy

Terox Systems Inc. is based in Toronto, Ontario. We are responsible for the personal information we collect through this website, email inquiries, and meeting bookings. This policy explains how we handle that information. If we work with your organization, our service agreements also address how we handle information for that work and do not replace our obligations under applicable privacy law.

Information you share with us

When you contact us, we collect your name, email address, and any company or project information you choose to share. We use it to answer your questions, discuss potential work, and follow up on our conversation. We do not use these details for newsletters or unrelated marketing, and we do not sell your personal information.

Booking a meeting

Our booking links take you to Calendly. When you book, we receive your contact details, meeting time, and any answers you provide in the booking form. We use these to arrange and prepare for the meeting. Calendly also processes information on its own website as described in its privacy notice. You can email us instead if you prefer not to use Calendly.

Information from website visits

Our hosting and security providers process technical information, such as your IP address and request details, to deliver the website and protect it from abuse. We use Vercel Web Analytics to understand which pages people visit, where visits come from, and which devices and browsers they use. Reports include approximate location. These analytics use aggregate statistics without tracking cookies or tracking you across unrelated websites. Read more about how these analytics work.

Your browser preferences

If you choose light or dark mode, we save that preference in your browser so the site remembers it. You can remove it by clearing this website’s stored data in your browser settings. Our website does not set advertising or analytics cookies. Necessary hosting and security technologies may still be used to keep the site working safely.

Who handles your information

We use service providers for website hosting, security, analytics, email, and scheduling. They process information needed to provide those services. We remain responsible for personal information under our control, including when a provider handles it for us. Information may be processed outside Canada, including in the United States, where it may be accessible to courts, law enforcement, or other authorities under local law. We may also disclose information when required or permitted by law, including to respond to a lawful request or protect legal rights.

How long we keep it and how we protect it

We keep personal information for as long as needed to respond to your inquiry, manage our relationship, and meet legal obligations. When it is no longer needed, we delete it or make it anonymous. The timing depends on the type of record and any legal retention requirements. We use safeguards appropriate to the sensitivity of the information to protect it against loss, misuse, and unauthorized access or disclosure. Please contact us before sending sensitive information so we can agree on an appropriate way to share it.

Your choices and rights

You can ask what personal information we hold about you, how it has been used or shared, and request access or corrections. You can also ask us to delete information we no longer need or withdraw your consent, subject to legal or contractual restrictions and reasonable notice. We will explain if a request affects our ability to respond or provide a service. We may need to verify your identity. For access requests covered by Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA), we respond within 30 days unless a legally permitted extension applies. If we cannot fulfill a request, we will explain why and the options available to you.

Updates to this policy

We will update this page when our practices change and revise the date above. For significant changes, we will provide any additional notice and obtain any consent required by law before using your information in a new way.
